Freight & logistics enquiries
Break the journey
into workable stages.
Use this guide to frame a freight enquiry, from the initial cargo information to the review of a proposed arrangement.
01Define the movement
Origin, destination & shipment scope
Define the boundaries of the proposed movement. State where responsibility should begin and end, and identify any stages already arranged by another party.
- Share the origin and destination, including full addresses where relevant.
- State the collection, main transport and delivery stages you want included.
- Identify the parties responsible for releasing and receiving the cargo.
02Consider the transport
Air & ocean freight discussions
Describe the transport requirements without losing sight of the cargo. Air or ocean options need to be considered against the shipment size, acceptance conditions, routing and required dates.
- Provide dimensions, gross weight and package count for an informed discussion.
- Explain whether timing, shipment size or another condition drives your decision.
- Confirm the actual routing, capacity and booking conditions before proceeding.
03Prepare the cargo
Cargo readiness & handling
Cargo readiness includes both the goods and their presentation for transport. Explain the packing format, handling needs and any conditions that could affect collection or acceptance.
- Describe cartons, pallets, crates or other packaging.
- Highlight loading restrictions, access conditions or equipment needs.
- Identify any regulated or special-handling cargo for suitability review.
04Connect the stages
Local movements & site instructions
Collection and final delivery depend on what happens at the site. Give the relevant access information so that local movement requirements can be discussed alongside the main freight stage.
- Include site contacts and any appointment requirements.
- Explain who will load, unload and acknowledge receipt.
- Agree the included stages and any separately arranged services.
05Organise the information
Shipping information & document responsibilities
Establish who will prepare the commercial documents and issue the shipment instructions. Requirements need to be checked for the goods and route, with specialist questions referred to the appropriate provider.
- Identify who will supply invoice, packing and shipping information.
- Raise questions about required documents before booking.
- Confirm customs responsibilities and any need for a qualified specialist.
06Review before proceeding
Proposal review & next steps
A proposal needs to be understood in context. Review the included services and the conditions that may affect the final arrangement.
- Clarify quotation validity, exclusions and applicable charges.
- Confirm payment terms, instructions and the scope before booking.
- Keep shipment references available when requesting updates or raising queries.
